BIFD Board Meeting Minutes*
1/10/01
Present: Jane Blanchard, Kitty Angell, Terry Plampin, Debby Bowinski (complete with cats and olive dip)
Workshop: Kitty brought fliers from the printer and they were prepared for mailing (if anybody finds a salsa blob on theirs, it’s Jane’s fault). Kitty will talk to Donna and Greg about printing a list of addresses to bring to BIFD so people can update theirs for corrections. Terry will call Will Crary about sound for the Sanchez location. Debby will bring a boombox to September School for the review on Sunday. He will also make sure there’s a sign made for the location.
Volunteers are still needed to help with preparation and cleanup for the workshop, particularly on Saturday night after the party. Work-study discounts are still available. Donald has agreed to host Joe at his house for the weekend. The matter of transportation to and from the airport is still in question. Amy is interested in being cash kid for the workshop. Jason may also be interested in sharing the responsibility; Jane will check with him. Kitty and Debby will work on putting together posters to put up around town. Several ideas for posters were presented, including Greek community centers or churches, CU Boulder in the Dance/Theatre and International Studies departments. There are also places on the Pearl Street Mall and Swallow Hill, as well as DU and Lafayette Music. Terry agreed to post at Lafayette Music and contact the Lafayette paper. Kitty will handle CU Boulder, since she works there for now. Debby will cover the Denver locations. Kitty and Debby also suggested enlisting the help of people interested in becoming board members next year. They will talk to these people during the next month. Kitty will also contact the Camera and Broomfield Enterprise. Jane will contact the News. Debby will cover the Post and the Westword. (Latest breaking news; Terry could not contribute to Jane and Debby’s breast-feeding stories, which Kitty – of all people – started.)
Other Stuff: There will be a semi-party on the Friday before Valentine’s Day (February 9). Kitty will check with Donna about lights and decorations. There will be easy teaching before the party.
The annual BIFD meeting will be on March 23rd at the Pearl Street Studio during dancing. The meeting will take place about 9pm and last for approximately 15-20 minutes (barring any need for board members to mud-sling to get elected or any discussion about recounting votes). Terry agreed to post the information in the Camera.
The discussion was raised again about re-organizing the structure of the board in order to start fund-raising and possibly to apply for grants if that doesn’t work. Debby reported an all-time low in the BIFD account, due to low attendance, raised rates and the fact that some people may be neglecting to pay at the door. The question of raising door fees to $4 to cover costs was brought up once again. Jane will bring it up at a Friday announcement time within the next month. She is still concerned that people will complain. Kitty and Debby pointed out very strongly that even with the raised rates, BIFD would still be very inexpensive to attend, and that if the relatively wealthy Boulder community could not afford to pay $4 to go help keep the group going, then community support would truly fail. Debby mentioned that if there were people who couldn’t afford it, they could volunteer to assist the board in weekly or monthly maintenance work for a lower fee. She did note that the cash kid would need to know who they were to avoid any confusion. Jane will also mention the need to sign in at the door, so attendance can be tracked more efficiently. According to the bylaws, people are eligible to vote if they have a record of signing in and paying for at least 1/5 of the year. (Jane plans to put in her vote for more couple dances and less Bhangra. Kitty and Debby will vote for more obnoxious dances and less obnoxious partners to step on their toes. Terry will decline to exercise his right as a free BIFD citizen and just make comments from the sidelines.)
More discussion will follow about possibly re-organizing the bylaws to provide a more accurate way of keeping track of members. Once the address book is updated, the board will work on notifying people about a meeting in the future to vote on the revision. The bylaws may be changed only if there is a 75% member vote to do so. While attendance at this meeting will not be required, a proxy vote will be requested in order to document that the bylaws were legally changed. (The discussion was concluded by a very non-democratic fight over olive dip.)
The next meeting will be held on February 21st, 7:00pm at Jane’s. Potential board members will be approached and encouraged to attend as well. The meeting was adjourned at 8:30pm.
